Corporate and Employee Relocation Car Shipping
When a company moves an employee, the car is usually the last thing anyone thinks about and the first thing that goes wrong. HR teams and relocation managers need one contact, a clear price, paperwork that satisfies reimbursement rules, and a shipment that fits around a start date. Super Auto Transport arranges vehicle shipping for individual employee relocations and for companies moving several staff at once.

How a relocation shipment is set up
- Quote. Run the calculator with the employee’s current and new ZIP codes and vehicle, or send us the details by email. The quote shows cash and non-cash pricing and the effect of a tighter pickup window.
- Roles. Tell us who pays, who is the pickup contact and who is the delivery contact. They can all be different people.
- Dates. Give the first available pickup date and the start date at the new location. We will tell you whether standard service fits or whether expedited pickup is needed.
- Confirmation. You receive a booking confirmation and invoice. The employee receives preparation instructions.
- Updates. We confirm the carrier assignment, pickup and delivery to the contacts you nominate, including the relocation company if there is one.
Planning around the start date
Carrier assignment typically takes one to five business days from the first available date for a standard vehicle, and transit depends on distance: a couple of days for a regional move, around a week for a coast-to-coast run. Add a few days of buffer in front of the start date so a weather delay does not leave someone without a car on their first morning. If the employee is flying ahead, an authorized person can hand the car to the driver after they leave, or the car can be shipped early and received by a colleague at the new location. Our guide to how long car shipping takes has timelines by distance.
Documentation for reimbursement and expense reports
Each shipment produces three documents:
- The booking confirmation with the price, vehicle and addresses.
- The paid invoice from Ship Hauls, Inc, doing business as Super Auto Transport.
- The Bill of Lading signed at pickup and at delivery, showing dates and the condition report.
Together these show what was shipped, where, when and for how much, which is what most reimbursement policies and relocation audits ask for. Keep the pickup and delivery photos as well; they are also what a damage claim relies on, as explained in our insurance and claims guide.
Two cars, spouses and family vehicles
Many relocations involve more than one vehicle. The calculator lets you add vehicles to a single request so the household move is one booking. Where routes and dates line up, both vehicles may ride on the same carrier. See multiple vehicle shipping.
Why a broker suits relocation work
Relocations go everywhere: one month it is Denver to Raleigh, the next it is Portland to Tampa. No single carrier covers every lane, but a broker with a vetted network can. Super Auto Transport is a licensed, bonded broker (MC 1558624, USDOT 4091281). We verify each carrier’s authority and cargo insurance before assignment, coordinate both ends and remain the single point of contact for the company and the employee. The arrangement is explained in broker vs carrier explained.

Frequently asked questions
Can the company pay while the employee handles pickup and delivery?
Yes. The company or relocation firm is the account holder and payer; the employee is listed as the pickup and delivery contact. The invoice is issued to the payer and the Bill of Lading is signed by whoever is present at each end.
What documents does an employee need for reimbursement?
Our booking confirmation, the paid invoice and the signed Bill of Lading showing pickup and delivery dates and addresses. That set usually satisfies both employer reimbursement policies and relocation-management requirements.
Can you work with our relocation management company?
Yes. We can take instructions from an RMC on the employee’s behalf, keep the RMC copied on status updates and bill according to the arrangement you set up. Give us the contact when you book.
What if the employee’s start date moves?
Notify us in writing as early as possible. If no carrier has been assigned, dates can be changed or the booking cancelled for a full refund under our terms. Once a driver is assigned, changes depend on the carrier and fees may apply.
Do you handle moves to Hawaii or Alaska for transferred staff?
Yes. Those moves include an ocean leg with longer lead times and strict vehicle preparation rules. See our Hawaii and Alaska car shipping pages.
